We operate axonbos.com, an AI-powered Digital Employee platform that helps Indian MSMEs, Chartered Accountants, and Finance teams manage business operations through intelligent automation and data connectivity.

2. What Data We Collect
Account Information
- Mobile phone number (used for OTP authentication)
- Business name and owner name
- Optional email address
Business Data
When you authorize connections to external systems (Tally, bank accounts, payment gateways, etc.), we collect and cache schema metadata, transaction summaries, and business intelligence. Raw transactional data is not stored permanently on our servers — it is cached temporarily for processing and then discarded per your disconnection preferences.
Conversation Data
All chat messages, queries, and AI-generated responses are stored to maintain conversation continuity and build personal business memory. This data is encrypted at rest.
Documents
Documents you upload are stored in your Google Drive account (not on AxonBOS servers). We only store references and metadata.
Usage Data
We collect anonymized patterns of platform usage — feature adoption, query frequencies, error rates. This data is never personally identifiable.
3. How We Use Your Data
- Service Delivery: To provide the AI Secretary, Digital Employee, and connector services you authorized
- Memory and Context: To maintain conversation history and build your personal business intelligence layer
- Platform Improvement: To analyze anonymized usage patterns and improve feature design and reliability
- Cross-Business Intelligence: To extract anonymized business patterns and best practices (e.g., "75% of textile traders reconcile accounts on Wednesdays"), which we may publish in industry reports. Your specific data is never identifiable in such analysis.
4. What We Never Do
- Sell your data to data brokers, advertisers, or third parties
- Use your specific business data to train AI models for other customers
- Access your connected systems without explicit authorization
- Store banking credentials, API keys, or sensitive authentication tokens
- Share your data with advertisers, marketers, or any commercial entity outside of AxonBOS
- Retain data longer than necessary after account closure
5. Data Security
- Encryption in Transit: TLS 1.3 for all connections
- Encryption at Rest: AES-256 encryption for sensitive data (conversation history, authentication tokens)
- Authentication: OTP-based (SMS via MSG91) with no password storage
- Write Approval: Every AI-generated data modification requires explicit user approval before execution
- Access Controls: Role-based access control (RBAC) for internal teams
- Audit Trail: Complete logging of all data access and modifications
- Security Audits: Regular third-party penetration testing and vulnerability assessments
6. Data Retention
- Active Accounts: Data retained for the duration of your account and any required compliance period
- After Account Closure: Data deleted within 90 days (except where legally required to retain for tax/audit purposes)
- Conversation History: You can request deletion of entire chat histories at any time
- Cached Data: Temporary caches from connected systems are cleared based on your disconnection preferences or automatically within 30 days
- Analytics Data: Anonymized usage analytics retained indefinitely (cannot be linked to you)
7. Your Rights
Right to Access
You can request a copy of all personal data we hold about you in a machine-readable format.
Right to Correction
You can request correction of inaccurate personal data.
Right to Deletion
You can request deletion of your data, subject to legal retention requirements (GST, tax records, etc.).
Right to Data Portability
You can request your data in a portable format suitable for import into another service.
Right to Opt-Out
You can opt out of non-essential data collection (analytics, improvement programs) without affecting service delivery.
Right to Disconnect
You can disconnect any integrated external system (Tally, bank feeds, etc.) at any time. Cached data for that connector is purged immediately.

8. Indian Regulatory Compliance
We comply with all applicable data protection laws:
- Digital Personal Data Protection Act (DPDPA), 2023: We operate as a Data Processor under your authority and maintain fiduciary responsibility for your business data
- General Data Protection Regulation (GDPR), EU: For users with EU operations, we comply with GDPR standards including lawful basis, consent, and right to erasure
- California Consumer Privacy Act (CCPA): For California-based users, we provide all CCPA-required rights
9. Children's Privacy
AxonBOS is not designed for or directed at individuals under 18 years of age. We do not knowingly collect personal data from minors. Your account must be opened by a person aged 18 or older. If we become aware that a minor has provided personal data, we will delete it immediately.
10. Changes to This Policy
We may update this Privacy Policy at any time. Material changes will be communicated to you via email at least 30 days before they take effect. Your continued use of AxonBOS after such notice constitutes acceptance of the updated policy.
